Wiley College is seeking qualified candidates for the Administrative Assistant/Post-Awards Grant Specialist position. The successful candidate will design and implement an effective computer-based tracking system for the Title III grant and other federal expenditures/encumbrances to track expenditures in compliance with approved budgets; input, retrieve and assemble computerized data for all expenditures, proposals and performance reports, including high quality scanned photographs; maintain an updated reporting calendar and inventory record for the Title III Program, as well as, for all of the Collegeís sponsored projects; perform routine clerical duties, including correspondence, proposals, reports and filing; order supplies as needed; ensure that any paper supplies ordered are in compliance with federal/grant guidelines and with the CollegeĎs fiscal policies and procedures; establish and maintain a travel tracking (expenditures and reporting) process; coordinate the review of monthly Time and Effort reporting for Title III and all other grants and ensure the accurate and timely preparation of Salary Transfer forms; ensure the development of high quality proposals, reports and documents; provide the Assistant to the President with monthly reports on the rate of expenditures for all sponsored programs; establish constructive collegial relationships with activity directors, program managers, unit heads and senior administrators and coordinate monthly reconciliation with the grants accountant in the Office of Business and Finance; and maintain a binder for each activity and/or project to include the approved award letter, budget, copies of all expenditure requisitions and Time and Effort reports.
The successful candidate will possess a bachelorís degree, with a minimum of ten years work experience in higher education. This position requires above-average communication skills, knowledge of post-award functions of grants administration, superior computing skills (Word, Excel, Publisher and other software applications); excellent organizational; time management, and interpersonal skills; and ability to work with personnel at all levels of the organization. Candidate appointed to this position must be able to work a flexible schedule based on deadlines and any special event assignment.
